Gatimaan Express tickets are sold like any Indian Railways seat, through the IRCTC e-ticketing website and at reservation counters. The launch releases describe it as a reserved train with Executive and chair classes, fixed fares and no concessions, so a seat has always meant a reservation.5,6 Today the website and the counters are the same places you would use for any chair car.
For a visitor from abroad, how to book the Gatimaan Express comes down to the Foreign Tourist Quota. IRCTC describes it as a facility for foreign tourists, including NRIs, who hold a valid passport, to book railway tickets online on the IRCTC e-ticketing website.1 You do not need an agent, and IRCTC states that the quota works through the website itself.
The quota covers more than one class. IRCTC lists Executive Class (EC), 1st AC (1A), 2nd AC (2A), 3rd AC (3A), AC Chair Car (CC), Sleeper (SL) and Second Sitting (2S) under it.7 For the Gatimaan Express the two that matter are the Executive Class and the AC Chair Car, which are the two classes the launch release describes for the train.8
The booking window is the first limit. IRCTC says users can book under the Foreign Tourist Quota up to 365 days in advance, and that the advance reservation period on Indian Railways is 60 days at present.1 In plain terms, a distant trip can be reserved under the quota, but the berth is only allotted when the normal period opens.
The PDF is explicit about that last step. For bookings made within the current period, berths are allocated at the time of booking, while for bookings beyond it the berths are provided at a later stage by the passenger reservation system when the period opens, with a notice sent by international SMS.1 The practical effect is that an early quota booking is a request, not a guaranteed seat, until the allocation arrives.
If a berth is never allotted, the ticket is cancelled automatically, and an SMS and an email go to the details you gave.10 For a day trip with a fixed visit date that is a reason to book once the window you need is open and to check the status the same week, not to rely on the earliest possible booking.
The official fare figures for the train are from its launch. The Press Information Bureau gave the fare for the chair car as Rs 750 and for Executive Class as Rs 1,500, and a second release restated them as Rs.750 and Rs.1500.3,5 They are dated figures, so they work as a ratio, not a quote: Executive Class cost twice the chair car at launch.
On top of the rail fare, IRCTC charges a service charge of Rs 200 + GST per ticket under the Foreign Tourist Quota, and the registration or profile updating fee for an international user is Rs 100 + GST.2 Payment is by international debit or credit card, and the same document says refunds go back only to the account used for the booking.4,11
The launch release also says no concessions are admissible on the train.6 A student, senior or other discount you might expect on an ordinary train should not be assumed here, so confirm on the booking page before you plan a budget. Everything about price on this site is a from figure and the booking page shows the live amount.

Plan for cancellation before you pay. Under the Foreign Tourist Quota IRCTC says that on cancellation by the user, 50% of the fare is deducted in addition to the cancellation charges, with time limits for online tickets as set by Indian Railways.10 A change of date is therefore not free, and a quota booking made a year ahead is a firm commitment.
The refund itself is credited only to the account used for the booking, and IRCTC adds that it offers no guarantee on the timeliness of refunds reaching card or bank accounts, because several organisations are involved.11 If a transaction debits your card without issuing a ticket, IRCTC says it will refund the fare and its service charges electronically.
A guided train day works differently. The listing on this site offers free cancellation up to 24 hours before for a full refund, which covers the tour, but the record does not say whether the rail tickets are inside the price, so ask the operator that before you book. The booking panel on this site shows the live price and the cancellation rule for the day.
Booking the Gatimaan Express on IRCTC yourself gives you the most control and the lowest cost, because you pay only the rail fare and the fees above. It suits a traveller who is comfortable with an e-ticket, a passport number and a verified phone, and who has a plan for the road from Agra Cantt to the Taj Mahal.
A tour that includes the train moves those jobs to someone else. The Viator listing sold on this site has a driver collect you from a Delhi or NCR hotel or the airport between 6:30 AM and 7 AM, helps you find your coach at Nizamuddin, and has a guide meet you outside your coach in Agra at 9:50 AM. It lists a live guide in English, German, Japanese, Italian, French, Spanish and Russian and runs 12 hours.
The listing starts from $100 and has 4,765 ratings averaging 4.9 on Viator. Whether that beats a do-it-yourself ticket depends on how you value the pick-up, the guide and the entry arrangements, and the sources above give you enough to price the DIY side. Use the calculator on this page for the comparison with the car days.
